This data protection declaration informs you about how we, CALIDA Group, 6210 Sursee, Switzerland (hereinafter referred to as "CALIDA Group", "we", "us") obtain and process, pass on, secure and store, destroy or anonymise your personal data (hereinafter also referred to as "data") in connection with the processing activities described below, and whom you can contact if you have any questions.Our processing activities are:

We reserve the right to change this privacy policy at any time and to adapt our processing methods. The current published version shall apply. We are committed to handling your data responsibly. Consequently, we consider it a matter of course to process your data in accordance with Swiss and, where applicable, applicable European data protection laws.

 

1. Your application and spontaneous application

 

When using the application form, you provide us with your data in accordance with the application form and the application documents uploaded by you for the purpose of filling the position. In doing so, you ensure that the data you provide is true, correct and up-to-date. Your data will be stored on our application tool of our software partner Refline AG and evaluated, processed and forwarded internally as part of your application.We inform you that, to the extent permitted by law, we will supplement your profile with data publicly available from you on social media profiles such as Xing and LinkedIn in order to obtain a picture of your professional skills and experience as complete as possible .The data may also be processed for statistical purposes (e.g. reporting).It is not possible to draw any conclusions about you personally.

 

In the case of a spontaneous application, we will contact you if we have a vacancy that might be suitable for you.

 

Minor applicants expressly declare that they will only apply with the consent of their legal representative.

 

2. Your jobmail subscription

 

By subscribing to the Jobmail, you consent to us informing you by e-mail about vacancies. When you subscribe to the Jobmail, the data you enter in the input mask is transmitted to us and stored. The jobmail is sent via our software partner Refline AG. Registration for the Jobmail is carried out using the so-called double opt-in procedure. In order to prevent misuse, we will send you an e-mail after your registration in which we ask you to confirm your registration. In order to be able to prove the registration process in accordance with legal requirements, your registration will be logged.You can revoke your consent to receive a jobmail at any time. There is a revocation link at the end of each job email.

 

3. Retention period

 

We only process your data for as long as it is necessary within the framework of our overriding interest or for the fulfilment of our contractual and legal obligations. In the event of employment, your data will be transferred to the personnel dossier, otherwise, as a matter of principle, it will be destroyed or made anonymous in the event of unsuccessful applications after 6 months after completion of the recruitment process or after revocation of your consent to the job mail. Please note that by law certain data must be kept for a certain period of time. We only use this data to fulfil legal requirements.

 

4. Disclosure of data to third parties

 

We will only disclose your data to third parties in the course of our business activities and for the purposes described in this privacy policy if we are obliged to do so by law, court order or official regulation, if the disclosure is necessary for the assertion, exercise or defence of legal claims or for the performance of contracts and business activities, or on the basis of your consent.

 

These third parties include our order processors, in particular Refline AG, Baar, as our software partner, and the IT provider. These service providers are in Switzerland.

 

If you use the voluntary option to submit your application or spontaneous application via the "One-Click-Option", data from your CV will be automatically read out and filled into pre-structured data fields. The data is read out with the help of semantic analysis and artificial intelligence. A service of the partner Textkernel BV (ISO 27001 certified, with server location in the Netherlands) is used. The CV is sent automatically by our software partner Refline AG as an HTTP post data request to the sourcebox system of Textkernel BV, read by machine, returned automatically and deleted. The use of this option is voluntary and by using it you agree to this type of processing. The application form can also be filled out manually at any time so that your data does notleave Switzerland.

 

If the level of data protection in a country is deemed inadequate for Swiss circumstances, we provide appropriate data protection by means of suitable guarantees, unless there is a legal exception.

 

5. Data security and confidentiality

 

We, as well as our order processors, use appropriate technical and organisational measures in the systems to protect your data stored by us from loss, destruction, modification and unauthorised access by third parties and to ensure availability. The security measures are continuously adapted in line with technological developments. The data is transmitted in SSL encrypted form. Absolute protection cannot be guaranteed. We also take our own internal data protection very seriously. Our employees and the contractors commissioned by us are obliged to maintain confidentiality and to comply with the provisions of data protection law.

 

The data you provide us with will be treated confidentially and access to it will only be granted to the extent necessary. In the context of a specific application, only persons involved in filling the position(s) have access to the data you have provided. In particular, our HR department and the line manager responsible for selection have access to the data you have provided. Only our HR has access to spontaneous applications in advance.Only when such an application is shortlisted for a specific position will the relevant supervisor be given access to the data you have disclosed. Depending on the destination of the job, supervisors in the relevant countries (EU/EEA area) will also be able to access the data, provided this is necessary for recruitment and we can guarantee an appropriate and legally prescribed level of data protection at all times.

 

Unless you inform us otherwise, we reserve the right to accept and consider your specific application for other suitable positions with us.

 

Only in exceptional cases do employees of our software partner involved for support purposes have access to the data you have disclosed.

 

Under no circumstances will your data be passed on to other companies or persons or used for other purposes.

 

6. Your rights to your data

 

In particular, you have the right to information as well as the right to withdraw your consent in relation to the jobmail. Your rights are not absolute. We reserve the right to enforce the restrictions provided for by law.

 

With a request for information, you can demand information about which data we process about you. To do this, we ask you to send us a corresponding identification of your person together with the request. We expressly reserve the right to request further information from you if necessary. Swiss substantive law applies, to the exclusion of the conflict-of-law provisions of Swiss private international law (IPRG). The place of jurisdiction is the registered office of the responsible party.
