Data protection declaration 

1. Preamble: This data protection declaration informs you about how we, the Swiss Federal Institute for Forest, Snow and Landscape Research, Zürcherstrasse 111, 8903 Birmensdorf, Switzerland, (short WSL/SLF), obtain and process, pass on, secure and store, destroy or anonymise your personal data in connection with the processing activities described below, and whom you can contact if you have any questions. Our processing activities are: 
a. Your application 
b. Your job mail subscription 
We are committed to handling your data responsibly. It will be processed in accordance with the Swiss Data Protection Act. 

2. Purpose: When using the application form, you provide us with your data in accordance with the application form and the application documents uploaded by you for the purpose of filling the position. Your data will be stored on our application tool of our software partner Refline AG (Swiss company with server location in Switzerland) and evaluated, processed and forwarded internally in the context of your application. The data can also be processed anonymously for statistical purposes (e.g. reporting). It is not possible to draw any conclusions about you personally. 

3. Access: The data you provide us with will be treated confidentially and access to it will only be granted to the extent necessary. Your personnel data is only accessible to the WSL/SLF personnel officers and the responsible managers. If the position is filled with a panel, the necessary information may be made available to its members for the purpose of recruitment. In this context, external third parties may be consulted. Only in exceptional cases do employees of our software partner who is called in for support purposes have access to the data you have disclosed. We will only disclose your data to third parties in the course of our business activities and for the purposes described in this privacy policy if we are obliged to do so by law, court order or official regulation, if the disclosure is necessary for the assertion, exercise or defence of legal claims or for the performance of contracts and business activities, or on the basis of your consent. These third parties include our order processors, in particular Refline AG, as our software partner, as well as IT providers. These service providers are located in Switzerland. 

4. Your application: After receipt of your application, you will immediately receive a response via e-mail. You assure that the information you provide is true, up-to-date and complete. We would like to point out that untrue information may lead to the termination of a possible employment relationship. Underage applicants expressly declare that they will only apply with the consent of their legal representative. Unless you inform us otherwise, we reserve the right to accept and consider your specific application for other suitable positions with us. We process and store your personal data for as long as it is necessary for the fulfilment of the purposes pursued, and beyond that in accordance with the statutory retention and documentation obligations. Three months after completion of the recruitment process, your data and documents will be deleted, provided that no recruitment or reapplication has taken place in the meantime. In the event of recruitment, WSL/SLF may transfer personal data from your application and any documents submitted via the online application to the personnel file. 

5. Request for information:With a request for information, you can ask for information about the status of your application and what data we are processing about you. You also have the option of having your electronic data changed or deleted. Please send your request for information, amendment or deletion in writing, including the corresponding identification of your person, to the Human Resources contact person named in the job advertisement. We expressly reserve the right to request further information from you if necessary. 

6. Jobmail: By subscribing to the Jobmail, you consent to us informing you by e-mail about vacancies. When you subscribe to the Jobmail, the data you enter in the input mask is transmitted to us and stored. The jobmail is sent via our software partner Refline AG. Registration for the Jobmail is carried out using the so-called double opt-in procedure. In order to prevent misuse, we will send you an e-mail after your registration in which we ask you to confirm your registration. In order to be able to prove the registration process in accordance with legal requirements, your registration will be logged. You can cancel your consent to receive a job email at any time. If applications from you are still pending in the system at the time of cancellation, please refer to point 4 of this data protection declaration. 

7. Safety:We, as well as our order processors, use appropriate technical and organisational measures in the systems to protect your data stored by us against loss, destruction, modification and unauthorised access by third parties and to ensure availability. The security measures are continuously adapted in line with technological developments. The data is transmitted in SSL encrypted form. Absolute protection cannot be guaranteed. Our employees and the order processors commissioned by us are obliged to maintain confidentiality and to comply with the provisions of data protection law. 

8. Our data protection declaration: The privacy policy may be amended at any time without prior notice. The current version published on our website shall apply.
