The Project Assistant will support HEKS/EPER officers in the day-to-day implementation, follow-up, coordination, and documentation of project activities in Gaza. The role will contribute to the effective delivery of Agriculture, Shelter, NFI, and other assigned humanitarian and recovery projects by supporting field coordination, documentation, reporting, and communication with partners, communities, and relevant internal departments.
The Project Assistant is a support role and is expected to help ensure that project activities are organized, well documented, and implemented in line with approved workplans, HEKS/EPER procedures, and donor requirements.
Project Assistant 100% – Gaza, National Position
Your main responsibilities:
Project Implementation Support - Support the implementation of project activities in Gaza across Agriculture, Shelter, NFI, and other assigned projects in line with approved plans, timelines, and objectives.
- Assist Project Officers in the day-to-day follow-up of activities, field teams, and partner actions.
- Support the organization of field activities, assessments, awareness sessions, household visits, meetings, and community-based interventions.
- Follow up on agreed action points with field teams, partners, and service providers, and provide updates to the relevant Project Officers.
- Assist in identifying implementation delays, operational gaps, or documentation needs and report them to the supervisor in a timely manner.
Community and Field Coordination - Support coordination with target communities, community relief committees, beneficiaries, and local stakeholders in line with project guidance and approved criteria.
- Assist in the organization and follow-up of community meetings and communication with beneficiaries to promote transparency, accountability, and effective implementation.
- Support field-level coordination for distributions, training sessions, site visits, and other project activities.
- Participate in field visits and provide timely implementation updates to the relevant Project Officers.
Documentation and Reporting - Maintain organized project files and records, including attendance sheets, distribution records, beneficiary lists, field visit notes, and activity documentation.
- Support the preparation and updating of project trackers, workplans, progress summaries, and routine implementation reports.
- Assist in collecting and compiling supporting documents required for internal follow-up, donor reporting, audits, and compliance purposes.
- Prepare minutes of meetings, action points, and follow-up notes as requested by the supervisor.
- Ensure that project documentation is complete, accurate, and properly filed in both soft and hard copy formats where required.
Support to Shelter and Rehabilitation Activities - Support follow-up on shelter and rehabilitation activities implemented through cash assistance or other modalities, in coordination with the Project Officers and engineering team.
- Assist in collecting, organizing, and filing documents related to household support, site visits, progress follow-up, and completion of activities.
- Support verification and documentation of implementation progress against project plans and indicators.
Support to Agriculture and NFI Activities - Support follow-up on agriculture-related activities, including field visits, beneficiary communication, activity schedules, and training arrangements.
- Assist in the collection and review of activity documentation related to agricultural inputs, farmer support, and field implementation.
- Support NFI-related implementation through follow-up on stock records, distribution planning, and required documentation in coordination with logistics and project staff.
- Coordinate with relevant departments to facilitate the preparation and implementation of distributions and related field activities.
Coordination with Internal Departments and Partners - Liaise with project staff, logistics, finance, MEAL, and other support functions as needed to facilitate implementation and documentation processes.
- Follow up with partners, suppliers, contractors, and service providers on pending documents, operational updates, and implementation-related matters under the guidance of the Project Officers.
- Attend coordination meetings and workshops as delegated by the supervisor and support follow-up on agreed action points.
Compliance, Accountability, and Risk Awareness - Support project implementation in line with HEKS/EPER procedures, humanitarian principles, and donor requirements.
- Promote accountability to affected populations through respectful communication and proper handling of beneficiary information.
- Ensure awareness of and compliance with HEKS/EPER policies related to safeguarding, child protection, prevention of sexual exploitation and abuse (PSEA), anti-fraud, confidentiality, and code of conduct.
- Report field concerns, protection issues, operational risks, or security incidents immediately to the line manager and follow HEKS/EPER safety and security procedures at all times.
To be successful you bring:
Required Qualifications and Experience - Bachelor’s degree in a relevant field such as Agriculture, Engineering, Business Administration, Social Sciences, Project Management, or another related discipline.
- Minimum 2–3 years of relevant professional experience with local or international organizations in project support, field coordination, or programme implementation.
- Previous experience in humanitarian or recovery programming is desirable.
- Experience in Shelter, Agriculture, NFI, cash assistance, or community-based programming is an asset.
- Familiarity with NGO documentation, reporting, and coordination processes is highly desirable.
Required Skills and Competencies - Good organizational and follow-up skills.
- Strong communication and coordination abilities.
- Ability to maintain accurate documentation and work with attention to detail.
- Good report-writing skills in Arabic and English.
- Good command of Microsoft Office, especially Word and Excel.
- Ability to work under pressure and manage multiple tasks in a challenging environment.
- Strong team spirit, flexibility, and willingness to learn.
Languages - Fluency in Arabic is required.
- Good command of English, both written and spoken, is required.
