In order to support the Facility Management team in Basel we are currently recruiting for an
Administration Specialist, Facility Management (maternity cover: 6 -9 months)

As an Administration Specialist in the Facility Management department for Jet Aviation, based in Basel, you will manage or support multiple and various tasks including the Budget Management, Supplier Coordination, Customer Services, Contract Management, Processes and Continuous improvement.

Description/Tasks:
  • Manage department budget, including, but not limited to, monthly billing statements, invoices, purchase orders as well as reporting and forecasting of Opex and Capex
  • Provide high quality customer service and support to all employees and service providers
  • Monitor existing facility contracts and oversee contract renewals, modifications and obligations
  • Provide administrative support to corporate Real Estate lease agreements and Facility projects
  • Produce effective professional documents, reports, presentations, and communication appropriate for intended purpose or audiences
  • Ensure department and suppliers’ compliance to all applicable procedures, rules, and regulations
  • Respond to and follow-up on all requests in a timely and efficient manner
  • Respond appropriately to emergencies or urgent issues as they arise
  • Support special events and site visits
Qualification/Experience:
  • 3-5 years of experience in a similar role 
  • Finance and budgeting knowledge is preferred 
  • Very good computer skills, especially SAP and Microsoft Office 365; ServiceNow is a plus
  • Very good oral, written and communication skills and the ability to successfully interact with internal and external stakeholders
  • Ability to handle multiple priorities and variety of tasks concurrently
  • Results driven – able to execute with high personal accountability and organizational skills
  • Attention to detail and great follow-up skills will be required
  • Good level in English; German and French would also be an advantage
